PYLA Sanctioning Contract (PDF Version)

• Hosting group/person agrees to pay fees set fourth by PYLA, in accordance with this contract.

• All sanction fees are due no later than five days of the conclusions of said show.  If the sanction fees are not received by the PYLA office five days after the show, there will be a $10.00 fee for everyday after the 5th day fees are not paid in full. Points for exhibitors will not be posted until said show has paid their sanctioning fees in full. If the fees are not paid by 30 days, we will post the points for those exhibitors and legal action will be taken against the group, organization or hosting party, per the sanctioning contract.

• No shows will be approved within 150-mile radius of each other (per google maps), showing the same species, this will be approved by the PYLA office.

• If the group, organization, or persons hosting said show wishes to make changes to said contract, may make changes, however changes may not be made 10 days or sooner to said show. 

• All shows sanctioned by PYLA, it is the show managers responsibility to ensure that shows are ran safely and in accordance with the PYLA rules and regulations.

• The hosting group or persons agrees to pay a cancellation fee of $40.00 per ring for a show cancelled with in 15 days of said show, for any reason other than a natural disaster (flood, earthquake, tornado, hurricane etc.), which will be deemed and approved by the board of executives of the PYLA.

• Upon sending in contract to PYLA, hosting party, or group must have approval back in writing from PYA, for contract to be active. Contract must have signaures from a PYLA representative and a signature from show manager to be considered valid.

• Hosting show, group or organization agrees and must open said show to all active members in good standing of PYLA, 4H members and FFA members of Texas, however this does not permit exhibitors from outside the state of Texas.

• The PYLA reserves the right not to sanction an organization show for the following year if that organization has violated or ignored any of the rules or ethics rules while producing their show during the current year.

• The PYLA retains the right to attend any sanctioned show as a vendor and hang banners to sign up members or answer any questions at no cost to the PYLA from the sanctioning show.

• Any group organization or persons hosting a PYLA sanctioned show, depending on fees being charged for rings, and showmanship must give back premium or prizes.

• The group, organization, or persons in charge of hosting a sanctioned show through PYLA, will be responsible for reporting any problems, at said show, as well as turning in points for said show. Hosting party will be responsible for enforcing rules set by PYLA, hosting group must always be present at said show. As hosting party please read and review all the rules set forth by the PYLA.

• The PYLA recommends that heifer shows sanctioned through PYLA state the max age for heifers to be shown is no older than 30 months. Cow calf pairs, with the calf no older than 6 months.

• It is the responsibility of the hosting group, organization or persons to provide prizes, premiums, and all other items for said show, including judges, grounds and all other items for said show.

• The PYLA also recommends the hosting group make a flyer, on the flyer we recommend the following items on the flyer: Date and Location of show, grooming rules for show, fees for show and contact person information.

• The PYLA retains the right to attend any sanctioned show as a vendor to sign up members or answer any questions at no cost to the PYLA from the sanctioning show.

• Show results must be in the Premier Youth Livestock Association office no later than 14 days after the conclusion of the show. Please note, fees for show are due not later than 5 days of conclusion of show, points will not be posted until fees are paid in full. If group, organization, or persons makes a mistake in reporting points they will have 15 days to get corrections and changes to PYLA.

• PYLA is not responsible the hosting party, group or organization reporting incorrect points.

• The PYLA will not allow hosting party, group, or organization to publicize said show until contract as been approved and signed by both parties (PYLA and hosting party, group or organization)
